ASTC Services (AST Consultancy Services Pvt. Ltd.) handles personal data belonging to two groups: representatives of client companies, and candidates considered for search mandates. This policy explains what we hold, why we hold it, and the choices you have over it. It applies to our website, our search and leadership hiring engagements in India, and the work our EMEA practice runs from London.
What we collect
From clients: name, business contact details, your company affiliation, and the information you send us about a role — reporting line, compensation band, business context and anything else relevant to briefing a search. From candidates: CV, career history, education, compensation information where you choose to share it, and notes from our conversations, assessments and reference checks. From website visitors generally: the technical information any web server logs (IP address, browser type, pages visited) and, if enabled, aggregate analytics that do not identify you individually.
Why we collect it
We collect only what a retained executive search practice genuinely needs to do its work: to understand a client's brief well enough to run an accurate market search, and to assess whether a candidate is a realistic fit for a specific, named role. We do not buy or sell personal data, and we do not build marketing profiles from candidate information.
How we use it
Client information is used to run the mandate you engage us for — market mapping, candidate approach, shortlist presentation and reference management. Candidate information is used to assess suitability for specific roles and, where relevant, roles that may arise later that we believe would genuinely interest you. We never share a candidate's CV or personal details with a client without that candidate's explicit permission, and we never share client names, briefs or search details publicly without written permission. This confidentiality commitment is central to how retained search works, particularly on sensitive C-level and off-market mandates.
Who we share it with
Beyond the client-and-candidate exchange described above, we share personal data only where necessary to run the business: with reference contacts a candidate has nominated, with our EMEA partner practice on cross-border mandates run jointly, and with service providers who support our operations (such as email and calendar tools) under confidentiality obligations. We do not sell personal data to third parties, and we do not share it with data brokers or advertisers.
How long we keep it
Candidate records are retained while they remain relevant to the sectors we recruit for, so that we can consider you for future mandates without asking you to start from scratch — and are removed on request at any time. Client records are retained for the duration of the relationship and for as long as required afterwards for legal, tax and accounting purposes under Indian law.
Data security
We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss or misuse, including restricting who within ASTC can see a given candidate or client record to those actually working the relevant mandate.
International transfers
Because ASTC runs mandates across India and, through our London-based EMEA practice, across Europe, the Middle East and Africa, personal data may be transferred between these locations as a search requires. We take steps to ensure this data receives an equivalent standard of protection wherever it is processed.
Your rights
You can ask us what personal data we hold about you, ask for it to be corrected if it is wrong, or ask us to delete it. Write to dushyant.arya@astcservices.com and we will respond within 30 days. If you are a candidate, you can also simply tell us at any point in a conversation that you would prefer we did not retain your details.
Cookies
This website uses only what is needed to serve pages correctly and, where enabled, privacy-respecting analytics to understand which pages are useful. We do not run advertising trackers or sell browsing data.
Children's data
ASTC Services provides executive search and leadership hiring services to businesses. Our website and services are not directed at, and we do not knowingly collect personal data from, anyone under 18.
Changes to this policy
We may update this policy as our practice or the law changes. Material changes will be reflected here with an updated date below. Continuing to use our services after an update means you accept the revised policy.
